Signing documents on a Mac can be a simple and efficient process. In this tutorial, we will walk you through the steps to sign documents using the built-in Preview app on your Mac. Whether you need to sign a PDF, Word document, or any other file format, this guide will help you get it done quickly and effortlessly.

Step 1: Open the Document

To begin, locate the document that needs your signature and double-click to open it in the Preview app. Preview is the default application for viewing images and PDFs on Mac.

Step 2: Access the Markup Toolbar

Once your document is open in Preview, you can find the Markup toolbar at the top of the window. This toolbar contains various tools that allow you to annotate and sign documents.

Substep 2.1: View the Markup Toolbar

If you don’t see the Markup toolbar, go to View in the menu bar and click on Show Markup Toolbar. Alternatively, you can use the keyboard shortcut Command + Shift + A.

Step 3: Add Your Signature

In order to sign your document, click on the Sign button in the Markup toolbar. A drop-down menu will appear with options for creating your signature:

  • Create Signature:
  • If you haven’t created a signature before or want to create a new one, choose this option. A window will pop up with different methods for creating a signature:

    • Type your signature using your trackpad or mouse.
    • Write your signature using your finger on a trackpad or touchscreen.
    • Use your Mac’s built-in camera to capture your signature on a piece of paper.
  • Manage Signatures:
  • If you have already created one or more signatures, this option allows you to manage and choose from your existing signatures.

Step 4: Place Your Signature

After creating or choosing your signature, it will appear as a draggable image with handles in the document. Click on the location where you want to place your signature, and then drag and resize it as needed.

Step 5: Save Your Document

Once you’ve placed your signature in the document, go to File in the menu bar and click Save. You can also use the keyboard shortcut Command + S. Choose a destination folder, enter a name for the signed document, and click Save.

You have successfully signed a document on your Mac using Preview. Now you can share or send the signed document as needed without having to print it out and sign it manually.

The Preview app offers many other useful features for working with documents, such as adding text, highlighting text, inserting images, and more. Explore the Markup toolbar to discover all the tools available at your fingertips.

We hope this tutorial has been helpful in guiding you through signing documents on a Mac. Happy signing!
